This guide covers the essential functions and transaction types you can perform with the viva.com Terminal app. From simple payment options to advanced features like installment sales and pre-approvals, you'll learn how to make the most of the app for your business.

Instalment Sale Implementation

In certain countries, local card issuers allow customers to make purchases in instalments when using a credit card.

Transactions with instalments are processed as if there were several transactions instead of one, with each transaction corresponding to the amount of the instalment.

If an instalment sale is approved by the card issuer, all subsequent transactions corresponding to future instalments will also be approved. In other words, the issuer guarantees the availability of funds for the total amount.

Batches/ Calendar Swifts

It facilitates the management of transactions after the end of a shift. A typical use case is when multiple employees use the same cash register during different shifts.

A new package starts when the shift begins and closes when it ends.

You can view the transactions in the package using the Transactions List to reconcile the invoices with the total amount paid during the shift.

Tipping

It allows operators to request tips. You can preset percentages, allow customers to enter an amount, or even round up the total. A typical use case is in restaurants, where servers often request tips.

Change the default payment method

In certain cases, you may want to change the default payment method from contactless transaction (Tap to Pay) to scanning a QR code. You can do this through the "Payment Methods" menu by selecting between "Tap to Pay" and "QR Code."

You can also make this change quickly by using the button in the top right corner of the standby screen.

Making transactions with your device

To complete a sale:

  1. Enter the amount on the app's home screen and press "Charge Card."

  2. Ask the customer to tap their card.

Note: There are several features that, if enabled, can add more steps to the simple sales process, such as adding a payment reference, including a tip, or using DCC (Dynamic Currency Conversion). The above example describes the simplest way to complete a transaction.

Payment Reference

It allows you to label each transaction with a value or reference. Common use cases include identifying a table or waiter, as well as bill payments, where the entered value corresponds to the bill number. Values can be entered manually or by scanning a barcode.

MoΤo

You can enable MoΤo (Mail Order/Telephone Order) transactions, where you accept payments by manually entering the card details.

App Orientation

Choose between vertical (portrait) or horizontal (landscape) orientation for the app.

Setting up an Integration

If you want the app to receive sales orders from a connected cash register or point-of-sale (POS) system.

Protect app settings with PIN

If the app is used on a device shared with others, you can secure its settings by enabling PIN protection.

Enable or disable decimal places

If you only charge whole amounts, you can enable or disable the display of decimal points.

Sounds

Enable or disable app sounds (e.g., tapping sounds) or adjust the volume.

Receipts

Configure various parameters related to how the receipt is printed or sent to the cardholder. You can also set what information will be displayed on the receipt.

Making a simple sale by scanning a QR code

If you want the customer to pay by scanning a QR code, follow these steps:

  1. Navigate to the QR code payment option.

  2. Select the alternative payment method.

  3. Ask the customer to scan the QR code.

Refunds

There are two different refund methods:

Standard Refund

  • Used when you need to refund a customer who has already completed a transaction with your business

  • The standard refund returns the money to the card used in the original transaction.

Fast Refund

  • Used when you need to send money to a card, even if that card has not previously been used for a transaction with your business.

  • Typically used in cases where the customer returns products, but the original card is unavailable (e.g., not present or expired).

Pre-authorisations

A pre-authorisation charge is a temporary hold on a specific amount of available funds on a credit or debit card. While the amount is held, it is not immediately transferred to business. A separate completion transaction (capture) is required to transfer the funds.

Pre-authorisations are commonly used in businesses such as hotels, rentals (including car rentals), travel agencies, and even restaurants.
